Through Google and your email we can send attachments in emails, save those sent to us or directly transfer them to our profile of cloud storage with Dropbox. There are some tips or tricks that we must take into account to manage attachments in Gmail and we’ve compiled some ideas for you to get more out of the tool.
What to keep in mind
You must bear in mind that there are attachments that Gmail blocks. If you consider that they are dangerous, you will not be able to download them and the antivirus will detect it as malware. Some of the prohibited formats in Gmail are: .ade, .adp, .apk, .appx, .appxbundle, .bat, .cab, .chm, .cmd, .com, .cpl, .dll, .dmg, .exe , .hta, .ins, .isp, .iso, .jar, .js, .jse, .lib, .lnk, .mde, .msc, .msi, .msix, .msixbundle.
It may also happen that it blocks password-protected files or it may be deleted or blocked if the antivirus included in Google detects that there is a dangerous link that could put us at risk. Send attachments
Add attachments
There are two ways to send attachments in Gmail: do it one by one by adding them to email, or send them as Google Drive content.
Attach files in Gmail
Sending attachments through Gmail is very simple and we can do it with just one button as long as they meet certain requirements. You can add as many files as you want as long as all of these do not exceed 25 MB. You will have to choose them one by one.
- Open Gmail on your computer
- Login if you have not previously logged in
- Tap on the “Compose” button in the top left corner
- Write what you want in the email
Once you have the email ready, we must go to the bottom of the screen, to the bottom bar. Here, we touch the click icon and the browser will open on our computer through which we can search for documents, photographs or videos. Add as many as you need to that email.
With Google Drive
If you want to send messages with content attached as Google Drive links, you can do that too. It is the recommended option if the files have a weight greater than 25 MB or if one of them weighs more than this. Google automatically turns it into a link to Google Drive that the recipient can download.
- Open Gmail
- Log in if you haven’t done so previously
- Tap on “Compose”
- Tap on the Google Drive icon in the bottom bar (between emojis and images)
- Your drive will open with all your documents stored
- Choose the ones you want
- Add them to email
You can also touch over the clip icon and attach them following the steps above as they will automatically become a link if they weigh more than 25 MB.
Save attachments
When you receive an email we can download the attached files easily and they will be stored by default in the downloads folder although you can change the location from the browser settings.
For download the attachments just open Gmail, Go to the email message you are interested in and tap the down arrow button hovering over the thumbnail. It will automatically download.
If you want to add it to Google drive, the icon that we must touch is the Mountain View cloud storage service so that it is automatically attached to your items there. Hover your computer cursor over the thumbnail of what you want to download and tap on the aforementioned icon, which you see on the screen.
Set up attachments on your mobile phone
You can configure email attachments on mobile phone. Just go to the application settings on your smartphone.
- Open Gmail on your mobile phone
- Tap on the three lines in the upper left corner
- Go to the end of the menu
- Tap on “Settings”
- Choose the account you want to configure if you have several
At the end of the web page we can choose a series of options. For example, we can mark when attachments are downloaded at the bottom. You can choose if they are downloaded automatically via WiFi or not. You can also choose whether external images are always displayed or not, for example.
Synchronize with Dropbox
We can manage and save our attachments in Dropbox as long as we have an account in the cloud storage service. We can do it from a Google extension or plugin as long as, in addition to the account, we have enough space to store them.
You can do this with a Dropbox plugin for Google Chrome that you have been using as a browser extension for a long time. This add-on offers complete integration with Dropbox from Gmail, allowing you to view, store or share any file in your cloud storage space from the Gmail tray without having to leave the email service.
Receive
To do this, the only thing we have to do is to install the plugin in Gmail, something we can do from this same link to the G Suite Marketplace by Google. The first thing we will have to do is indicate the Google account in which we want to install the add-on and then accept the necessary permissions for its correct operation. It will automatically be added to our account.
Once installed, we will see how to enter our Gmail inbox, when we go to an email message that has an attached file an icon appears in the right sidebar of Gmail with the Dropbox logo, as you can see in the image below. Once connected to our account, we will see how we can save the attachments in our storage space in the path that we want from this sidebar.
Send
To send you can also use the Dropbox files once you have installed the add-on mentioned in the last paragraphs. From the moment you install it, you will see that when you touch “New message” a Dropbox icon appears at the bottom of the screen next to the toolbar. Where you see the options to add attachments, emojis or add content from Google Drive, you will also now see the blue Dropbox button.
By tapping on it will take us to our folders in the cloud and we can choose the file or folder that we want to share via email.
Delete Dropbox
When you want to delete Dropbox you just have to go to the icon that appears to the right of your inbox and the side menu with cloud storage options. Tap the three dots on the Dropbox page in the upper right corner and open the options menu. Open the option “Manage add-ons”. And all there will appear.
Here you will see Dropbox, as in the image below, and you can touch on the corner and choose “Uninstall”.
Extensions to manage attachments
There are some extensions that we can add to our browser to manage attachments. For example, if we want to know if the sent files have been opened.
The extension Digify for Gmail: Encrypt, track, and unsend is free and we can add it to Chrome if we want to have control of the attachments sent You can control the messages thanks to the fact that it allows you to encrypt files and emails but we can also add a timer or an expiration date for the email sent or for the file itself .
